Terms and Conditions

PAYMENT

A signed confirmation shall accompany the required deposit, this will confirm your booking. Acknowledgement of the terms and conditions is due 7 days after booking. Balance of payment and itinerary must be received by our office 21 days prior to your scheduled departure date, or we reserve the right to cancel this agreement. When mailing your payment, please make certain you identify the trip by the Charter Order Number listed on your contract. Payments may be made by cash, cheque, money order, or e-transfer. Credit card payments can be made by credit card authorization form or by calling our office.

CANCELLATION & ALTERATION OF CHARTER

If it is necessary for you to cancel your reservation please notify us as soon as possible. All Cancellations are subject to a processing fee of 5%. Trip Cancellations occurring 21 days or less, prior to departure date will be charged a cancellation fee or a minimum of 25% of contract value. Cancellations made within 48hrs of trip will NOT be subject to a refund. For refunds applied back onto credit cards, a processing fee of 7% of refund amount, or a minimum of $30.00 will be held. Changes to bus sizes occurring 21 days or less before departure date will incur a processing fee. A detailed written itinerary is required for all trips at least two weeks prior to departure to include dates, times, addresses, contact information, and any other pertinent information about the trip. Prices are subject to change based on the final itinerary provided. If the chartering party requests any change in service that results in an increase in miles or hours to that specific charter, an additional charge may be necessary for that additional service. Any changes to the itinerary once the charter has departed must be approved by our office, NOT the driver. Additional charges will incur.

DRIVER’S HOURS OF SERVICE

All trips/itineraries must comply with the Federal, Provincial and U.S Regulations for a single driver. Customers can be charged and held liable for exceeding regulations.

INFECTIOUS DISEASES/COVID-19

Ayr Coach Lines is not responsible for any loss or damage resulting from a customer or others contracting COVID-19 or any other illness while utilizing any of the services offered by Ayr Coach Lines. Ayr Coach Lines is not responsible for implementing or enforcing any social distancing measures or PPE guidelines set forth by any jurisdiction that the Chartering Party may travel through, depart from, or arrive in, while travelling with Ayr Coach Lines. It is at the discretion of the Chartering Party to determine whether or not they will follow social distancing guidelines. By signing our contract you are releasing Ayr Coach Lines of any liability and are accepting all liability for any COVID-19 related illness, losses, or possible damages.

PASSENGER CONDUCT

Consumption of Alcohol, Smoking & Vaping is prohibited at all times in all Ayr Coach Lines vehicles. Ayr Coach Lines reserves the right to refuse to transport persons under the influence of intoxicating substances, such as liquor or drugs, or persons who are, or who are likely to become, objectionable to other persons. Passengers shall not interfere with the operator in the discharge of their duty or tamper with any apparatus or appliance on the bus. The Ontario Highway Traffic Act requires passengers sitting in a seat equipped with a seat belt to wear the seat belt. This includes children under the age of 16. We encourage each passenger to wear their seat belt for their safety.

FUEL & OTHER POSSIBLE SURCHARGES

Ayr Coach Lines reserves the right to impose a fuel surcharge based upon an increase in fuel prices between the time the service is quoted and the date of service. A surcharge may be applied for changes to any legislation set forth by any government entity proposed between the time the service is quoted and completion of the contract. All surcharges remain the responsibility of the Chartering Party.

ADDITIONAL CHARGES (407/WIFI/TOLLS/PARKING/PERMITS/MISCELLANEOUS)

Any of the above charges that you wish our drivers to handle must be prepaid to Ayr Coach .These amounts will be reflected on the Charter Order. Any charges not prepaid will be the Chartering Party’s responsibility.

Wifi is available. This is a pre-arranged service that must be arranged by your sales representative several days before departure. The Wifi signal can be affected by your geographical location.

The 407 can be used at an additional charge and can be arranged by your sales representative several days before departure.

All 407 charges remain the responsibility of the Chartering Party, regardless of whether or not they are prearranged.

The Chartering Party is responsible to provide our driver(s) single hotel accommodation unless alternative arrangements have been made.

DAMAGE/CLEANING FEES

Costs associated with repairing damage to vehicles resulting from the conduct or actions of passengers on that specific charter shall be charged to the Chartering Party. This cost is payable as soon as such cost is determined. A cleaning fee is also applicable if required. A damage deposit or cleaning fee hold may be required if Ayr Coach Lines feels it is necessary. These amounts will be refunded if the bus is returned undamaged and with no excessive cleaning required.

BUSES

We reserve the right to substitute equipment from other companies to fulfill this agreement.

DRIVER REQUEST

Specific drivers may be requested by the Chartering Party depending on availability.

SERVICE DELAYS

Operators have been instructed to drive at all times at a speed within the limits prescribed by the law and compatible with safe operation. Ayr Coach Lines Limited will not be liable for matters beyond our control. Including, but not limited to, traffic congestion, mechanical issues, weather conditions, etc.

LOST AND FOUND

Ayr Coach Lines shall not be liable for items left on buses. All property will be handled at the passenger’s risk.

THIS AGREEMENT CONSTITUTES THE ENTIRE AGREEMENT BETWEEN THE PARTIES AND SUPERSEDED ANY AND ALL OTHER AGREEMENTS, EITHER ORAL OR WRITTEN WITH RESPECT TO THE SUBJECT MATTER HEROF.
